âą Manage a diverse portfolio of global multi-client projects of varying size, complexity, and deliverables âą The primary focus is on managing Learning and Development events, eLearning products, and L&D strategy projects âą Create detailed and considered project plans using established templates and tools, ensuring key meetings are scheduled and delivered correctly, and followed up with clear notes and actions âą Manage and maintain project plans, project trackers, finance systems, and ensure project-related operational tasks are performed consistently and with accuracy âą Ensure projects are kept on the right path and consider all eventualities by putting contingency plans in place and manage risks accordingly âą Ensure projects are financially aware, have the most proper resource aligned, and deadlines are met âą Ensure all deliverables are delivered in line with the approved statement of work and to an exceptional standard âą Lead project kick-off calls and ensure all project stakeholders are clear on their roles & responsibilities and take accountability for ensuring that all tasks are completed on time, within budget and to a high standard âą Communicate and present project information and updates to all levels of stakeholders âą Build strong relationships with all internal and external stakeholders of all levels and help other team members to do the same âą Lead thorough, yet efficient, project planning and briefing meetings âą Partner with the business development team to create client proposals and contribute to the delivery of pitches/RFPs âą Create and manage complex budgets, ensuring projects do not exceed the given budget âą Liaise proactively with the Business Development and Finance teams to ensure the project financials are correct and up to date on all internal systems âą Proactively collaborate with account teams and clients to find new opportunities, building relationships with effective communication and trust.
âą Minimum of 3 years' experience in project management/life science event management ideally in a learning and development environment âą 5+ years preferred âą Experience in working in an agency environment desirable âą Experience in working in a pharmaceutical environment strongly preferred âą Reside in Eastern or Central time zone preferred âą Occasional travel if needed âą PMP qualification or equivalent preferred but not required âą Exceptional planning, prioritization, and organizational skills âą Effective Communication: Strong written and verbal communication skills with ability to build lasting relationships with internal and external stakeholders and confident in presenting to project teams and clients âą Self-Starter: Proactive attitude, takes ownership over projects, enjoys responsibility and accountability âą Experience in using project management and ERP systems (Smart sheet, Workday, Microsoft project) âą Flexibility: Willingness to work flexibly to fulfil client requirements and enhance project delivery âą Proficient in the use of Microsoft Office packages, especially Outlook, Word, Excel and PowerPoint and digital meeting platforms âą Strong financial acumen: Able to create, monitor and reconcile detailed budgets âą Client-Centric approach: Builds trustful relationships, delivers exceptional client service âą Adaptability: Comfortable in a dynamic environment with evolving client needs âą Creativity: Thinks innovatively to ensure the best outcomes for external and internal stakeholders âą Accuracy: Able to clearly follow processes and accurately enter data âą Collaborative Spirit: Works effectively with cross-functional teams and clients, tailoring communication style as needed for different stakeholder communication styles and/or levels âą Problem-Solving: Anticipates challenges, mitigates risk, and makes informed, thought-through decisions âą Willingness to learn and adapt to company philosophy and ways of working.
