📋 Description

‱ Manage a diverse portfolio of global multi-client projects of varying size, complexity, and deliverables ‱ The primary focus is on managing Learning and Development events, eLearning products, and L&D strategy projects ‱ Create detailed and considered project plans using established templates and tools, ensuring key meetings are scheduled and delivered correctly, and followed up with clear notes and actions ‱ Manage and maintain project plans, project trackers, finance systems, and ensure project-related operational tasks are performed consistently and with accuracy ‱ Ensure projects are kept on the right path and consider all eventualities by putting contingency plans in place and manage risks accordingly ‱ Ensure projects are financially aware, have the most proper resource aligned, and deadlines are met ‱ Ensure all deliverables are delivered in line with the approved statement of work and to an exceptional standard ‱ Lead project kick-off calls and ensure all project stakeholders are clear on their roles & responsibilities and take accountability for ensuring that all tasks are completed on time, within budget and to a high standard ‱ Communicate and present project information and updates to all levels of stakeholders ‱ Build strong relationships with all internal and external stakeholders of all levels and help other team members to do the same ‱ Lead thorough, yet efficient, project planning and briefing meetings ‱ Partner with the business development team to create client proposals and contribute to the delivery of pitches/RFPs ‱ Create and manage complex budgets, ensuring projects do not exceed the given budget ‱ Liaise proactively with the Business Development and Finance teams to ensure the project financials are correct and up to date on all internal systems ‱ Proactively collaborate with account teams and clients to find new opportunities, building relationships with effective communication and trust.

🎯 Requirements

‱ Minimum of 3 years' experience in project management/life science event management ideally in a learning and development environment ‱ 5+ years preferred ‱ Experience in working in an agency environment desirable ‱ Experience in working in a pharmaceutical environment strongly preferred ‱ Reside in Eastern or Central time zone preferred ‱ Occasional travel if needed ‱ PMP qualification or equivalent preferred but not required ‱ Exceptional planning, prioritization, and organizational skills ‱ Effective Communication: Strong written and verbal communication skills with ability to build lasting relationships with internal and external stakeholders and confident in presenting to project teams and clients ‱ Self-Starter: Proactive attitude, takes ownership over projects, enjoys responsibility and accountability ‱ Experience in using project management and ERP systems (Smart sheet, Workday, Microsoft project) ‱ Flexibility: Willingness to work flexibly to fulfil client requirements and enhance project delivery ‱ Proficient in the use of Microsoft Office packages, especially Outlook, Word, Excel and PowerPoint and digital meeting platforms ‱ Strong financial acumen: Able to create, monitor and reconcile detailed budgets ‱ Client-Centric approach: Builds trustful relationships, delivers exceptional client service ‱ Adaptability: Comfortable in a dynamic environment with evolving client needs ‱ Creativity: Thinks innovatively to ensure the best outcomes for external and internal stakeholders ‱ Accuracy: Able to clearly follow processes and accurately enter data ‱ Collaborative Spirit: Works effectively with cross-functional teams and clients, tailoring communication style as needed for different stakeholder communication styles and/or levels ‱ Problem-Solving: Anticipates challenges, mitigates risk, and makes informed, thought-through decisions ‱ Willingness to learn and adapt to company philosophy and ways of working.
