📋 Description

• Own client invoicing, collections, and bookkeeping in QuickBooks Online • Work fully remotely on US Eastern hours as a full-time contractor, reporting to the Operations Manager • Run Stripe invoicing every four weeks in advance • Calculate and verify variable fees from contracts and ad spend reports • Chase late payments every three working days and escalate unresponsive clients • Apply incoming payments to the correct invoices and maintain the AR aging report • Reconcile bank, credit card, AR, and AP accounts and run the monthly close • Set up new clients in Stripe and prepare final bills for leavers • Support DocuSign contract administration • Document finance procedures and maintain trackers • Communicate failed charges, renewals, collections, and payment mismatches in Slack and the finance channel • Hand clean monthly books to the external accountant or CPA • Complete a short practical test during the interview process

🎯 Requirements

• Bachelor's degree in accounting or a related field • Three or more years of experience in bookkeeping, billing, or accounts receivable • Experience billing or collecting for dozens of active clients • Experience running the full billing-to-cash cycle for recurring clients • Experience sending invoices, tracking AR aging, chasing late payers, applying payments, and reconciling • Experience calculating invoices from ad spend, usage, or contract terms • Working knowledge of QuickBooks Online, including bank and credit card reconciliation, chart of accounts, AR, and AP • Excel proficiency, including maintaining a billing tracker • Experience maintaining a billing sheet, tracker, or aging report used by others • Experience with scheduled collections and escalation procedures • Ability to trace mismatches between an invoice, payment, and bank line • Clear written and spoken English for client emails, daily updates, and calls • Stripe, Mercury or another online business bank, USD invoicing or US client experience, and multi-currency bank reconciliation are bonus points
