📋 Description

• Manage and prioritize executive calendars, meetings, and scheduling. • Coordinate meetings across multiple stakeholders and time zones. • Prepare meeting agendas, summaries, minutes, and follow-up action trackers. • Monitor executive priorities and ensure timely execution of action items. • Support leadership communication and administrative activities. • Follow up with departments on ongoing projects, deliverables, and deadlines. • Coordinate communication between teams and leadership. • Maintain visibility over operational priorities and escalation points. • Identify risks, delays, and bottlenecks and ensure timely resolution. • Prepare executive reports, summaries, dashboards, and presentations. • Maintain organized documentation and digital records. • Ensure information is accurate, structured, and easily accessible. • Assist with KPI tracking and reporting activities. • Help improve workflows, coordination processes, and reporting systems. • Utilize digital tools and AI productivity tools to increase efficiency. • Contribute to operational excellence initiatives.

🎯 Requirements

• 3+ years of experience in one or more of the following: Executive Assistant, Executive Coordinator, Administrative Manager, Operations Coordinator, Project Coordinator, Administrative Coordinator, Chief of Staff Support, Office Manager, etc... • Excellent English communication skills (written and verbal). • Strong organizational and follow-up skills. • Experience preparing reports, meeting minutes, and executive documentation. • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook). • Ability to manage multiple priorities simultaneously. • Ability to work independently in a fully remote environment. • Preferred French proficiency. • Experience supporting senior leadership, executives, directors, or CEOs. • Experience in international organizations. • Familiarity with AI productivity tools (ChatGPT, Claude, Copilot, etc.). • Experience with project management or task-tracking systems.
