📋 Description

• Manage real estate transactions from initiation through closing after the initial training period • Coordinate multiple files, stakeholders, deadlines, and outstanding requirements • Monitor transaction progress and proactively address delays • Coordinate account assistants' work and resolve operational issues • Liaise with title companies, attorneys, listing agents, buyers' agents, homeowners, and internal teams • Explain approval letters, contract terms, and closing requirements • Track signatures, paperwork, and closing deadlines • Verify documents are accurately completed, signed, labelled, and filed • Cross-check contract terms against settlement statements and closing requirements • Maintain organized digital records, transaction trackers, workflow trackers, and outstanding-action records • Handle sensitive and difficult conversations professionally and empathetically • Review contracts and buyer submissions for accuracy, completeness, and compliance • Audit payslips, tax returns, bank statements, HUD statements, and settlement statements • Verify figures and fees against contracts, approval letters, lender requirements, and closing instructions • Identify discrepancies, missing information, and potential compliance issues before closing • Coordinate corrections and follow up on incomplete submissions • Support reverse underwriting and resolve unusual distressed-property transaction scenarios • Communicate clearly and professionally with U.S.-based professionals and homeowners by email and telephone • Explain complex financial, contractual, and transaction processes in simple language • Analyze transaction records and financial information to determine next steps • Prioritize urgent matters, manage competing deadlines, research unfamiliar issues, and make decisions within role authority • Present practical recommendations when escalating complex matters • Identify recurring process issues and recommend workflow improvements • Maintain consistent availability and responsiveness during agreed U.S. working hours

🎯 Requirements

• Bachelor's or master's degree, or equivalent relevant professional experience • At least five years of relevant experience in real estate, title services, mortgage operations, legal closing, financial services, contract administration, account management, document auditing, or underwriting support • Previous experience working remotely in a professional environment • Proven ability to manage multiple files, deadlines, stakeholders, and detailed documentation workflows independently • Experience reviewing HUD or settlement statements is strongly preferred • Experience auditing financial documents, including payslips, tax returns, and bank statements, is an advantage • Excellent written and spoken English, with clear and professional verbal communication • Strong analytical, numerical, and financial-review skills • Critical thinking, sound judgment, and effective decision-making • Excellent organization, prioritization, and time management • High attention to detail and commitment to accuracy • Confidence communicating with U.S.-based professionals and handling difficult conversations • Initiative, accountability, independence, and consistent follow-through • Ability to manage complex transactions with minimal supervision • Professionalism, empathy, negotiation, and stakeholder-management skills • Adaptability, technology proficiency, and ability to learn complex software quickly • Calmness under pressure and reliability in a fast-paced remote environment • Candidates with clear, professional, easily understandable English accents are preferred • Reliable computer and smartphone • High-speed internet of at least 100 Mbps with unlimited data • Strong proficiency in Windows • Working knowledge of Microsoft Office, including Word, Excel, and Outlook • Familiarity with Google Workspace, including Gmail, Docs, Sheets, and Calendar • Experience using Adobe Acrobat, CRM software such as Salesforce or equivalent, and digital document-management systems • Ability to work confidently with databases, digital workflows, and task-management tools • Willingness to learn phone systems such as RingCentral; training can be provided
