• Provide administrative support of project planning, scheduling, application engineering, material and subcontract procurement to the Director of Installations, Installation Managers, Project Managers and/or others as required. • Manages licensing compliance across state, county, and municipal jurisdictions. • Provides administrative support for installation teams ensuring that Convergint and CTC 475 maintain all required contractor licenses and verifies individual technician certifications necessary for installations. • Coordinates efforts to obtain required licenses or engages qualified subcontractors when needed. • Maintains knowledge of compliance requirements, including annual renewals and continuing education (CEU) obligations. • Oversees the submission and updating of license applications. • Determines certificate of insurance and permitting requirements for sales opportunities to accurately estimate permitting costs and timelines. • Manages the permit application process, including submitting applications online and coordinating in-person filings when required by local jurisdictions. • Engages local Project Managers or technicians to complete in-person submissions as necessary. • Attends weekly planning sessions; conducts weekly project paperwork reconciliation; may perform weekly timesheet data entry. • Responsible for administrative aspects of assigned projects from award through completion including, but not limited to, planning, scheduling, subcontractor and material procurement, installation, invoicing, and close-out. • Coordinate project requirements, related field tasks and activities with the Field Project Manager. • Maintains accurate and up to date records of job status, job changes, material flow and other control records necessary for processing internal and external reports. • Enters data for new projects and change orders into the accounting system. • When required, coordinate with Design Team for project design requirements. • Act as "our customer’s best service provider" by providing timely updates on project, quickly addressing concerns, and by regularly seeking feedback on our performance. • Identify potential project risks and develop/implement strategies to minimize impact and control deviations from estimated costs and project deadlines.
• Education: High School/GED or equivalent. • Preferred Experience: 2 - 3 years previous administrative support, construction process knowledge, or office management or related experience preferred. • Previous experience in maintaining and registering in industry state licensing programs.
