📋 Description

• Own the daily status system and traffic flow so projects remain visible and moving • Route briefs, assets, and approvals between executives, the marketing pod, and vendors • Log tasks and commitments from manager meetings or AI notes • Set daily and weekly priorities, protect deadlines, and refine approval, routing, and publishing workflows • Test emails and SMS end-to-end, including links, tags, opt-outs, routing, and user experience • Verify UTM parameters across links, emails, ads, and paid channels • Proofread spelling and grammar, check links and linked documents, and validate functionality • QA forms for submission, tagging, territory assignment, representative notifications, and lead booking • Review and approve staging builds before launch • Manage regulatory approval chains, legal review, disclosures, brand claims, principal sign-offs, and board approvals • Maintain approval records and a canonical, version-controlled source of truth for compliant offering-document statements • Publish approved assets in Notable, Planable, HubSpot, or equivalent platforms • Enforce version control and archive outdated assets • Oversee access to branded assets • Hold the distributed LatAm marketing team accountable for hours and output • Run timesheets and processes, follow up on no-shows and unqualified leads • Conduct event pre-flight checks for displays, QR codes/UTMs, NFC, capture forms, and table materials • Shadow key calls and capture action items • Assemble weekly statistics, reconcile editorial and traffic calendars, and identify blockers • Document QA and compliance standards • Implement Claude-based AI workflows

🎯 Requirements

• 6+ years in marketing traffic/project coordination or QA/compliance operations • Experience reading content against a fixed compliance standard in a regulated category such as SEC/securities, financial services, healthcare, pharma, legal, or similar • Exceptional proofreading and testing skills; ability to catch errors before publication • Excellent English grammar and proofreading skills • Near-native written English • Owner's mindset and ability to drive outcomes independently • Hands-on experience with Claude, HubSpot, Planable, or Notable • Experience building AI-assisted QA, compliance, version-control, or automated workflows • Self-sufficient operation and ability to learn tools independently • Proactive communication and ability to hold a distributed team accountable • Fluency with publishing/approval and traffic stacks such as Notable, Planable, HubSpot, Asana, or equivalent • Strict UTM-taxonomy discipline • Must work in a US timezone (EST, MST, CST, or PST) • Must be able to travel annually to the USA with a valid passport and appropriate visa or travel authorization • Resume must be formatted in English
