📋 Description

• Compile invoices for submission and ensure compliance with GI-TOC and donor guidelines • Oversee procurement and contract management for the Observatory • Liaise with GI-TOC staff, experts and consultants regarding administrative documents and file storage • Ensure compliance with relevant regulations, policies and quality standards • Support programme activities and organize workshops, roundtables, webinars and networking activities • Prepare and disseminate event information and follow-up communications • Provide administrative support for timely and efficient programme implementation • Arrange meetings as required • Assist with flights, accommodation and DSA payments for event participants • Assist with quarterly and annual progress and financial reports • Support preparation and coordination of newsletters, event announcements and routine communications • Support PowerPoint development for outreach activities • Draft social media content and other communications materials • Maintain stakeholder and partner contact information and databases • Support routine relationship-management follow-up • Track stakeholder engagement and communication activities • Support development and updating of stakeholder maps • Serve as a focal point for project audits and provide documentation and responses to auditors • Work closely with finance, programme management and HR support teams • Work under the direction of and in close coordination with the Asia-Pacific Observatory Director, project leaders and programme management team

🎯 Requirements

• Undergraduate degree in Management, Human Resources or Business • At least 3 years’ experience in administrative and management support, preferably within international or foreign projects or organizations • Extremely detail-oriented and responsible • Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint) • Ability to work systematically and accurately according to strict deadlines and under pressure • Strong organisational skills with ability to undertake multiple tasks and activities in parallel • Independent, creative and highly motivated • Excellent written and oral communication skills • Collegiality and ability to work effectively in a multicultural environment and in a small team • Fluency in spoken and written English • Command of additional languages, particularly ASEAN languages, considered an asset • Candidates must currently reside in an ASEAN member state at the time of application
