• Provide overall administrative and logistical support for project activity implementation • Compile invoices and ensure compliance with GI-TOC and donor guidelines • Track budgets and invoices • Oversee procurement and contract management for the field network • Liaise with staff, experts and consultants regarding administrative document submissions and filing • Ensure compliance with relevant regulations, policies and quality standards • Help organize workshops, roundtables and other events, including information dissemination and follow-up communications • Arrange webinars, online meetings and other meetings • Prepare meeting materials, presentations, agendas, minutes and project documents • Monitor project activities and maintain tracking tools • Assist with travel arrangements and DSA payments for event participants • Assist in preparing quarterly and annual progress and financial reports • Serve as a focal point for project audits and provide documentation and responses to auditors • Work closely with finance, programme management and HR support teams • Undertake other administrative, logistical and project-support tasks required for effective project implementation
• Undergraduate degree in Management, Human Resources or Business • At least 3 years’ experience in administrative and management support, preferably within international or foreign projects or organizations • Strong proficiency in Microsoft Office suite, particularly Microsoft Excel • Ability to work systematically and accurately according to strict deadlines and under pressure • Strong communication and organisational skills with ability to undertake multiple tasks and activities in parallel • Independent, creative and highly motivated • Excellent written and oral communication skills • Collegiality and ability to work effectively in a multicultural environment and in a small team • Fluency in spoken and written English • Candidates must currently reside in South Africa at the time of application
