📋 Description

• Import and categorize weekly credit-card and bank transactions in QuickBooks • Perform monthly bank reconciliations • Record adjusting journal entries and checks received • Prepare month-end profit and loss statements and balance sheets • Manage accounts receivable, invoice aging, collections, and monthly client statements • Follow up with clients by email and phone on overdue balances • Participate in collections and retainage meetings • Process and verify lien waivers • Track and manage retainage across active construction projects • Maintain vendor accounts and record bills in QuickBooks and Egnyte • Process ACH forms and manage vendor payment workflows • Prepare vendor credit applications • Prepare and submit certified payroll reports and assist with payroll reporting • Prepare monthly project reports including MEURs, AA202s, and other construction documentation • Assist with workers’ compensation and general liability insurance audits • Support billing overflow and general accounting and administrative tasks

🎯 Requirements

• Extensive QuickBooks experience — this is the primary accounting platform and proficiency is non-negotiable • Strong understanding of full-cycle accounting including AR, AP, bank reconciliations, and month-end close • Knowledge of retainage in a construction context • Personable and professional communication style; comfortable making occasional outbound calls to clients regarding outstanding balances • Strong attention to detail and accuracy • Organized and able to manage multiple recurring deadlines simultaneously • Proficient in Adobe, Microsoft Word, Microsoft Excel, and Google Sheets • Reliable and self-directed in a remote work environment • Preferred: AIA application knowledge • Preferred: Basic understanding of lien rights and lien timeframes • Preferred: Experience with certified payroll preparation and construction project reporting • Preferred: Background in construction, specialty contracting, or project-based accounting • Preferred: Familiarity with Egnyte or similar document management platforms
