• Support administrative operations as needed to maintain efficient workflow • Handle confidential client information in compliance with legal and ethical standards • Organize, maintain, and update electronic client records within the CRM system • Process and respond to incoming emails following established communication guidelines • Provide referrals and resources to individuals seeking assistance outside the firm's practice areas • Answer and direct incoming calls in a professional and courteous manner • Monitor and manage overflow call systems to ensure timely responses • Gather and document caller information accurately • Ensure all client interactions reflect the firm's commitment to professionalism and exceptional service • Maintain electronic filing systems • Serve as the welcoming voice and first point of contact for individuals seeking guidance during family law matters • Manage communications and coordinate inquiries while ensuring information is handled accurately and confidentially
• Legal background is a big plus • Strong verbal and written communication skills • Ability to handle sensitive and confidential information with discretion • Excellent organizational and multitasking abilities • High attention to detail and commitment to accuracy • Comfortable managing high volume communications across multiple channels • Ability to follow established processes, guidelines, and communication protocols • Professional and empathetic approach when interacting with clients • Strong problem solving and critical thinking skills • Proficiency with CRM systems and electronic document management • Experience working in a remote environment preferred • Timezone: PST (US) • Software and Tools: CRM software, Microsoft Office Suite, Outlook, Email management platforms, phone systems • English and Spanish languages • 2–3 years of experience in a receptionist, customer service, administrative support, legal support, or client-facing role preferred
