📋 Description

• Manage travel logistics or reimbursement processing for patients participating in assigned clinical trial projects • Collaborate with PCS Project Managers, the Patient Concierge Services Manager, and internal teams to understand study requirements and implement patient support services • Support new project setup, including mailbox creation, portal access, SharePoint folders, and study-specific documentation • Review and validate patient enrolment information and approve patient access to digital platforms such as PatientGO® • Serve as primary contact for patient requests through apps, email, or phone • Coordinate flight, train, accommodation, and ground transport bookings • Review and verify patient reimbursement requests against study-specific Travel & Reimbursement Policies • Approve, reject, or escalate reimbursement and stipend submissions • Communicate with patients and caregivers regarding logistics, reimbursement updates, and concerns • Liaise with clinical sites regarding reimbursement and patient travel coordination • Process patient payments, stipends, and travel confirmations • Manage allocation and tracking of patient payment cards • Maintain accurate patient information, visit records, and service logs in real time • Assist with reimbursement submissions on behalf of patients • Identify operational gaps and support service improvements and internal initiatives • Provide data and updates for monthly financial reporting • Ensure compliance with confidentiality, GCP, data protection regulations, and company SOPs • Participate in client meetings, site initiation visits, and investigator meetings when requested • Stay current on tools, technologies, and processes for patient travel and reimbursement coordination • Support internal team projects and initiatives

🎯 Requirements

• Equivalent experience, skills, and/or education will also be considered • Strict patient confidentiality and compliance with Good Clinical Practice (GCP), data protection regulations, and company SOPs • Ability to manage travel logistics or reimbursement processing for patients in assigned clinical trial projects • Ability to collaborate with project managers, the Patient Concierge Services Manager, and internal teams • Ability to use approved systems, travel providers, digital platforms, vendor platforms, and tools related to patient travel and reimbursement coordination • Ability to communicate with patients, caregivers, and clinical sites • Ability to maintain accurate patient information, visit records, and service logs • Ability to support financial tracking and monthly reporting • Willingness to participate in client meetings, site initiation visits, and investigator meetings when requested
