📋 Description

• Client Document Coordination & Compliance: Collect and track required supporting documents from clients, ensuring timely submission and maintaining accurate document checklists. • Review submitted items for administrative completeness, legibility, signatures, dates, and accurate labeling. • Identify and resolve issues such as missing, duplicate, expired, incomplete, or incorrectly submitted documents, and follow up proactively with clients as needed. • Guide and support long-distance clients on how to successfully submit their required documentation. • Log all touchpoints by documenting client communications, document receipts, and follow-up attempts on the same business day. • Case Assembly & Digital Organization: Gather and compile all completed forms, legal writings, and supporting documents required for each case. • Assemble case files into a single, well-organized, and searchable PDF following the exact order outlined in the case cover letter. • Optimize digital files by managing page rotation, removing duplicate or blank pages, and structuring exhibit organization when required. • Review and refine the "Documents" section of the cover letter to provide rich, detailed descriptions of each piece of evidence included. • Enforce data standards by organizing and saving files into CampLegal, Asana, and Google Drive using the firm’s standardized naming conventions and folder structures. • Execute final quality control by completing a rigorous assembly checklist before transferring the case to the next review stage. • Team Collaboration & Operational Support: Partner closely with attorneys and paralegals to ensure 100% of required documentation is accounted for ahead of submission deadlines. • Assist with specialized document requests, including police records, background checks, and certified translations. • Maintain detailed database records of all document submissions, tracking case status dynamically to keep workflows moving efficiently.

🎯 Requirements

• Bilingual: Fluency in both English and Spanish is strictly required. • Experience: Prior experience in an office, legal, administrative, or customer-facing environment. • Immigration Knowledge: Familiarity with immigration forms and procedures is a strong plus. • Technical Proficiency: Skilled in scanning, optimizing, labeling, and organizing high-volume electronic files (PDF management). • Execution & Detail: Exceptional organizational skills, laser-sharp attention to detail, and the ability to manage multiple cases simultaneously under deadlines. • Core Values: A proactive, problem-solving attitude with a deep commitment to the firm’s core values: Dedication, Resourcefulness, Empowerment, Accountability, and being Mission-Driven (DREAM).
