📋 Description

• Coordinate multi-round executive interview processes with senior candidates and C-level stakeholders across time zones • Work with executive assistants and gatekeepers to secure interview availability quickly, offer scheduling alternatives, and escalate when needed • Build and maintain coordination processes, SLAs, templates, and status reporting across concurrent executive searches • Serve as a primary contact for senior candidates and executive assistants • Resolve scheduling conflicts, calendar changes, travel logistics, and process issues involving senior leaders • Arrange virtual and in-person interviews, including flights, hotels, ground transportation, itineraries, candidate preparation, and expense reimbursement • Handle confidential search, candidate, background check, onboarding, and organizational information • Maintain accurate search data in Greenhouse, candidate management systems, and calendars • Support reporting on search progress, pipeline health, and key metrics • Partner with the Head of Executive Recruiting on reports, dashboards, presentations, priorities, meetings, follow-ups, and special projects • Analyze workflows and recommend improvements to processes, tools, templates, and automation, including piloting AI-enabled solutions • Collaborate with Executive Recruiters, People & Culture leaders, and executive offices

🎯 Requirements

• 5+ years of coordination experience in an executive recruiting environment supporting VP-level and above searches • Demonstrated program or project management capability, including building plans, tracking milestones, managing dependencies, and reporting status across multiple workstreams • Strong complex problem-solving skills and ability to prioritize and act quickly • Strong working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook • Exceptional attention to detail and clear sense of urgency • Executive presence and polished written and verbal communication • Proven ability to handle highly confidential information with discretion • Experience administering or extensively working in applicant tracking systems or similar platforms • Comfort working with global, distributed teams across multiple time zones • Ability to work independently, take initiative, and manage competing priorities with minimal oversight • Proficiency in English, written and spoken • Bonus: Experience with Greenhouse and/or Workday • Bonus: Formal program or project management certification or training, such as PMP, Agile, or Scrum • Bonus: Experience using AI or automation tools to improve recruiting or operational workflows • Bonus: Basic knowledge of global hiring compliance and data privacy requirements • Bonus: Advanced proficiency in AI tools, including Claude and ChatGPT • Bonus: Bachelor's degree or equivalent experience in HR, Business, or a related field
