📋 Description

• Manage client and lead follow-up communications across email, messaging apps, and CRM • Respond proactively to inquiries and maintain timely communication loops • Create and manage group chats and communication channels • Send introductions, nurture cold or inactive leads, and follow up on inbound messages • Own leadership’s calendar and schedule internal and external meetings, appointments, demos, and calls • Coordinate time zones and meeting objectives; identify and resolve scheduling conflicts • Triage leadership and WorkStackOS inboxes for urgency and priority • Draft, send, and follow up on emails; organize and flag items requiring leadership attention • Maintain contact records, deals, lead sources, lead stages, meeting notes, sales trackers, and operations trackers • Prepare performance recaps and provide meeting status updates and follow-ups • Support client onboarding by sending thank-you messages, drafting contracts, creating shared channels, and scheduling kickoff calls • Prepare kickoff documentation and track action items on shared task boards • Follow up on incomplete tasks and hold the team accountable to commitments • Serve as the communication hub between leadership, the team, and outside partners • Relay updates, decisions, and next steps promptly • Handle document organization, filing, record-keeping, process documentation, SOP updates, and vendor/service coordination • Book flights, accommodations, and other travel logistics • Manage personal administrative tasks and document retrieval, organization, and submission • Handle ad-hoc business and personal support requests

🎯 Requirements

• Excellent communication with clients, leadership, and teammates across channels • High performance standards and strong ownership • Highly capable and self-sufficient; minimal supervision required • AI-savvy at Level 2+, including creating and managing AI Agents, Skills, and automations • Experience using ChatGPT, Claude, Gemini, and Perplexity • Prompt engineering • Platform savvy across CRM, automation, and communication tools • AI engineering or AI-enabled sales/operations workflow experience highly preferred • API or webhook integration experience highly preferred • JSON coding experience or low-code/no-code platform familiarity highly preferred • Project management and process-building knowledge highly preferred • CRM automation experience, especially GoHighLevel, highly preferred • GoHighLevel certification or training is a major plus • Experience with N8N, Make.com, Zapier, GitHub, Slack, ClickUp, iPhone/iMessage syncing, or HubSpot as applicable • Availability from 10am–6pm PST and responsive communication during business hours • Professional setup with clean background, good camera, good microphone, and strong Wi-Fi • Business-casual attire during meetings
