AMO partners with hospitals, academic institutions, and preceptors to expand clinical networks, support workforce pipelines, and deliver high-quality, compliant clinical experiences for trainees worldwide.

📋 Description

• Create new orders in HubSpot and move them through appropriate pipeline stages • Send clinical placement requests to preceptors with school requirements, block dates, and student counts; confirm understanding and secure approval • Create corresponding orders in the AMO admin platform to reserve rotation spots • Maintain accurate placement trackers and organize open requests for Customer Success visibility • Send and track affiliation agreements and preceptor forms • Organize preceptor CVs, board certifications, licenses, and forms, then compile rotation details and onboarding paperwork for schools • Create and follow task and issue tickets through resolution • Support ad hoc fulfillment projects and compile summary reports from multiple systems • Review student documents and send document packets to preceptors before rotations begin • Maintain knowledge of AMOpportunities products and services • Assist with PandaDoc templates and B2B partner and Programs team documents • Anticipate and resolve preceptor and student issues proactively • Collaborate with Sales, Clinical Outreach, Programs, Customer Success, and other cross-functional teams • Maintain accurate records in the CRM system • Perform other duties as assigned

🎯 Requirements

• Strong attention to detail, organization, and time management • Experience working across multiple systems or platforms, including CRM tools, admin/database platforms, and spreadsheets • Ability to learn new tools and processes quickly • Proficient in Microsoft Office, Excel, and Google Sheets • Clear written and interpersonal communication • Ability to work independently and collaboratively • Self-starter and results-oriented with high initiative • Flexibility to adapt as priorities shift and manage competing priorities • Ability to follow tasks through to completion without significant oversight • Comfortable working cross-functionally with different teams • Proactive, solution-oriented approach to identifying and resolving issues • Ability to handle sensitive documentation, including licenses, certifications, and affiliation agreements, with discretion and accuracy • Prior operations, coordinator, or client success support experience is a plus • Healthcare, education, or clinical placements experience is a plus but not required • Experience with PandaDoc is a plus
