• Manage appointment scheduling for clinics/units and maintain calendars • Process consult intake, schedule appointments, and manage electronic waitlists • Review daily consults, recall lists, and communications for accuracy • Adjust appointments, locations, and providers to maintain clinic access and coverage • Serve as first point of contact for patients, families, and staff • Answer phones, respond to inquiries, and resolve concerns • Provide courteous, professional, and timely service • Handle complaints and initiate resolution within required timelines (24–72 hours) • Collaborate with interdisciplinary healthcare teams (VA and community providers) • Support community care scheduling workflows and escalation processes • Assist patients in navigating care and making informed decisions • Input and maintain patient data in CPRS/EHR systems • Verify and update demographic and insurance information • Perform receptionist and clerical duties (messages, records, materials) • Support revenue processes by identifying insurance coverage • Maintain patient safety by verifying identity using required protocols
• High School diploma or GED equivalent • Proficiency in written and spoken English • Minimum typing speed of 50 words per minute • Basic computer proficiency, including Microsoft Office applications • Basic knowledge of medical terminology • Minimum 6 months of customer service experience in a medical or healthcare setting • Ability to work remotely and independently in a professional setting • Ability to obtain and maintain a favorable VA background investigation (NACI) and PIV credential • No physical or health restrictions that would interfere with job performance • U.S. citizenship required
