📋 Description

• Provide day-to-day coordination, administrative, and operational support across all contract workstreams • Support development and maintenance of the TSA Media and Recruitment Strategic Plan, campaign media plans, and other contract deliverables • Coordinate inputs, conduct research, update schedules, route materials for review, and track approvals • Provide backup and surge support for recruiting events and logistics, including event research, registrations, venue coordination, shipment tracking, supply and inventory records, and weekly event schedule maintenance • Maintain project trackers and records for deliverables, milestones, deadlines, risks and issues, action items, client comments, approvals, equipment and information, shipments, inventory, and transition activities • Support bi-weekly Project Status Reports and monthly Program Management Reviews by organizing updates, campaign metrics, recruitment information, schedule and budget inputs, risks, mitigation actions, and follow-up items • Schedule and support internal and client meetings; prepare agendas and materials, capture notes and decisions, track action items, and follow up with owners • Assist with quality control, document management, knowledge transfer, transition activities, and rapid-turn or ad hoc requests

🎯 Requirements

• At least one (1) year of experience supporting project coordination, program operations, marketing, advertising, communications, events, or a related function • Bachelor’s degree in business, communications, marketing, project management, or a related field • Ability to support multiple concurrent workstreams and shift between priorities, assignments, and functional areas • Experience maintaining project documentation such as schedules, action-item trackers, deliverable logs, meeting materials, reports, presentations, files, or approval records • Experience coordinating with cross-functional teams, clients, vendors, or other stakeholders and following tasks through completion • Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, and Teams • Ability to obtain and maintain a Public Trust clearance • Legal authorization to work in the U.S. • Strong critical thinking, analytical, and time management skills • Ability to organize, prioritize, and work well with others • Ability to communicate thoughts, ideas, and solutions logically in writing and orally • Ability to stay calm under pressure and in a fast-paced environment • Ability to receive client feedback and implement changes quickly and effectively • Ability to get up to speed quickly on complex issues • Desire to work in a fast-paced, rapidly evolving environment
