• Serve as a primary point of contact and the “face of the Bar” for members, staff, and the public • Respond to high-volume telephone contacts, email, written correspondence, and in-person interactions • Professionally greet visitors and callers • Assist individuals directly or direct them to the appropriate person, division, department, or community resource • Follow Front Desk/Reception security protocols and report security incidents • Provide administrative support, including telephone coverage, mailing projects, filing, and related tasks • Prepare daily conference room schedules and update lobby marquees • Prepare general correspondence, including inmate correspondence • Update HUB/member records and process payments as assigned • Collect and collate metrics to evaluate efforts and measure success against strategic goals • Research and resolve discrepancies and issues in member records • Type, design, and proofread correspondence, memos, charts, tables, and reports • Provide members with status-change information • Assist with member fee statements, payments, billing issues, pro hac vice applications, and letters of good standing • Respond to inquiries regarding members and organizational events • Refer issues to appropriate State Bar departments or programs • Provide callers from the public with referrals to community resources or route calls to Bar personnel • Recognize, document, and alert the supervisor to trends in member calls • Cross-train in other Member Services programs and resources • Work independently and within a team on special, nonrecurring, and ongoing projects • Suggest process improvements • Perform other related duties as assigned
• High School Diploma or General Education Degree (GED) • Minimum two (2) years’ experience in a front desk/reception or administrative position, or two (2) years’ experience in a call center environment, preferably using an Automatic Call Distribution • Bilingual (Spanish) preferred • Customer-service driven • Demonstrated poise, tact, and diplomacy; ability to handle sensitive and confidential situations • Professional and personable demeanor • Ability to read and comprehend instructions, correspondence, and memos • Strong spelling and grammar skills • Attention to detail and well organized • Excellent telephone etiquette and verbal communication • Ability to handle and prioritize multiple, competing tasks and demands and seek supervisory assistance as appropriate • Self-starter able to work independently • Ability to file alphabetically and operate general office equipment such as fax and photocopy machines • Compliance with internal procedures and external regulations • Microsoft Windows environment with Office Suite, including formatting and producing word-processing documents, spreadsheets, presentations, and reports • Ability to use video-conferencing tools as needed • Ability to develop working knowledge of digital databases, digital records management, and related software • Reliable transportation for possible travel within the metropolitan area • Appropriate driver’s license and insurance coverage if using a personal vehicle • Regular attendance required • Overtime may be required • Ability to identify potential issues and correctly categorize inquiries for referral • Ability to meet stated physical demands, including standing, walking, sitting, hand/finger use, reaching, and frequently lifting/moving up to 10 pounds
