📋 Description

• Provide technical and administrative support to field and operations staff • Support assignment, setup, communication, scheduling, coordination, preparation, and completion of project tasks • Report findings to clients and/or management • Coordinate contract administration, purchase orders, and change orders • Develop a network of qualified subcontractors • Set up projects in the digital writing platform and nTel • Research project information and gather required documents from client-supplied materials or municipalities • Review, understand, and interpret municipal survey/zoning codes • Maintain consistent project information across nTel, Vision, P-Drive, and SharePoint • Track project progress and help resolve issues involving points of contact, site information, client delivery, and field management • Communicate scheduling delays and issues to the Senior Project Coordinator/Project Manager • Notify team members about newly uploaded information to nTel and/or P-Drive • Assist with vendor recruitment and onboarding into FLEX and maintain vendor compliance • Obtain vendor pricing and timing for proposals • Coordinate on-site schedules between vendors and points of contact • Upload and disseminate client-supplied materials and final deliverables • Review and interpret client comments before sending them to vendors • Prepare and submit non-technical contractual reports and deliverables to clients • Perform survey/zoning reports, summaries, technical reviews, and due-diligence services for commercial real estate • Forward vendor deliverables for technical review • Follow up with clients regarding outstanding proposals and projects on hold • Coordinate schedules with vendors, clients, and internal/external teams • Develop project progress, problem, and solution reports for stakeholders • Track data through web-based project management tools • Contact municipal departments for project information • Perform special projects assigned by leadership • Identify opportunities to improve efficiency and technology solutions • Protect confidential company information • Deliver timely, proactive customer service • Follow company policies, SOPs, work instructions, quality standards, and safety regulations • Work overtime with prior authorization when required

🎯 Requirements

• High school diploma or General Education Diploma (GED) required • Some college preferred • Minimum of two years of administrative type experience • Ability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations • Ability to write reports, business correspondence, and procedure manuals • Ability to effectively present information and respond to questions from clients, peers, and technical field staff • Ability to define problems, collect data, establish facts, and draw valid conclusions • Ability to interpret technical instructions and deal with abstract and concrete variables • Proficient in operating a computer • Knowledge of word processing software, spreadsheet software, and project management software • Time management skills • Active listening skills • Critical thinking skills • Problem solving skills • Oral and written communication skills • Ability to motivate, develop, and direct people • Ability to work independently and in a team environment • Ability to work in a constant state of alertness and safe manner • Ability to successfully work from remote location • Ability to meet the physical demands of the job • Must have a cell phone and supply your own internet service
