• First point of contact for all matters from initial inquiry through to successful course completion • Identify and implement organizational and interpersonal solutions in close collaboration with teaching, product and admin teams • Maintain class registers carefully, monitor absences and course dropouts, and ensure smooth operations • Provide empathetic, clear and calm mediation as the interface between participants and instructors in conflict or special situations • Warmly welcome new participants and ensure a professional and positive sign-off at the end of the course • Support the strategic and technical migration from Podio to HubSpot and ensure a clean, system-level setup • Design, further develop and implement operational workflows, pipeline logic, as well as documentation and follow-up processes in HubSpot
• Successfully completed degree and ideally 1–3 years of professional experience, for example in adult education, training providers, project management or customer service • Practical experience working with CRM systems and, ideally, initial experience in introducing, structuring or improving CRM processes (e.g., workflow and pipeline design) • Excellent communication skills and confidence in negotiation in both German and English (spoken and written) • High social competence and empathy in daily interactions, with composure when conducting demanding conversations • Strong organizational and multitasking skills to confidently manage complex structures and processes, even during dynamic periods • Intercultural competence for a confident and respectful presence in an international, diverse environment • Nice-to-have: coaching or mediation training – not required but a bonus. Experience working with people under high stress is a plus – empathy is a game-changer. Limited professional experience but internships completed? We still welcome your application!
