📋 Description

• Support account executives and deal owners across federal, DoD, Intelligence Community, commercial ISV, FSI, and DIB territories • Capture meeting notes, next steps, contacts, and deal updates in HubSpot within one business day • Ensure seller email is synced to HubSpot and customer threads are logged correctly • Keep deal records current for weekly deal meetings and monthly deal reviews • Maintain contact and account data quality • Own scheduling for customer meetings, demos, and internal deal calls • Coordinate visitor requests, base access paperwork, demo setup, travel details, and conference schedules • Prepare pre-meeting briefs covering attendees, account history, action items, and recent activity • Draft quotes and pricing documents, track approvals, and support order paperwork • Route RFIs, RFQs, and proposal requests and track them through submission • Monitor inbound customer email and Slack for traveling sellers and handle routine responses at their direction • Turn field debriefs into CRM updates and draft follow-up emails using AI tools • Track deal action items and follow up with internal owners • Log administrative tasks consuming seller time and provide time estimates • Deliver monthly recommendations for templates, automation, and process changes • Help implement HubSpot workflows, sequences, checklists, and AI-assisted automations

🎯 Requirements

• One to three years in sales support, inside sales, sales operations, or a similar coordination role • Strong written communication • Experience with a CRM; HubSpot experience is a plus • Highly organized with strong attention to detail and able to manage multiple threads across sellers • Proficient with generative AI tools for transcription, drafting, summarization, and administrative streamlining; expected to use them daily • Discretion handling sensitive customer and deal information • U.S. citizenship required for work supporting federal and defense customers • Preferred: exposure to federal, DoD, or Intelligence Community sales cycles, government contracting, commercial ISVs, FSIs, or the DIB • Preferred: familiarity with MEDDPICC • Preferred: experience preparing quotes or supporting proposal workflows
