• Serve as the primary contact for prospective clients, families, and referral sources via phone, email, and other communication channels • Guide clients and families through all stages of the admissions process • Engage clients using a compassionate, relational, and consultative approach • Conduct pre-admit screens and communicate recommended levels of care determined by clinical team members • Manage objections, assess readiness for change, and motivate clients to pursue treatment • Maintain conversion rates and registration targets • Provide information about treatment programs, admissions processes, and expectations • Share community resources when clients cannot access care • Answer incoming calls, including admissions inquiry phone queues • Coordinate pre-admission appointments and secure admission dates • Ensure timely placement into appropriate levels of care, including IP, Residential, PHP, and IOP • Communicate confirmed admissions to internal teams • Provide pre-admission materials and health insurance benefit quotes • Conduct routine follow-ups with prospective clients • Support census goals and monitor program capacity • Collaborate with operational and clinical teams to optimize admissions placement • Track client progression and maintain accurate status updates • Escalate census concerns, admission delays, or placement barriers • Create and update client records in CRM, EHR, and other internal systems • Document client interactions, follow-ups, and admissions communications • Maintain HIPAA-compliant records and workflows • Use internal tracking and reporting systems • Build relationships with referring providers and internal teams • Support escalated or sensitive client interactions • Collaborate cross-functionally • Maintain confidentiality of protected health information • Adapt to changing priorities, provide team coverage, follow time-management procedures, and perform other assigned duties
• 1–3+ years of experience in healthcare admissions, intake coordination, healthcare sales, or related client-facing role required • Experience in behavioral health, eating disorder treatment, healthcare sales, or high-volume call center environments preferred • Sales/customer service experience preferred • Experience working directly with clients, families, or patients in emotionally sensitive situations strongly preferred • Experience managing multiple priorities and workflows in a fast-paced environment preferred • Familiarity with insurance verification, healthcare scheduling, or admissions processes preferred • Strong interpersonal skills, emotional intelligence, attention to detail, compassion, professionalism, urgency, and responsiveness • Ability to manage high-volume documentation and maintain accurate records • Ability to comply with quality assurance, compliance, HIPAA, and organizational standards • Ability to work Monday–Friday, 10:30 a.m.–7 p.m. CST • Ability to use CRM, EHR, internal tracking, and reporting systems
