📋 Description

• Manage the full-cycle accounts payable process across multiple entities • Receive, code, and route vendor and contractor invoices for approval in Ramp • Prepare and process weekly payment runs via ACH, check, and wire • Maintain accurate and complete disbursement records • Review and process team member expense reports and corporate card transactions • Establish and maintain vendor records and collect W-9 forms • Lead year-end 1099 preparation and filing • Serve as primary contact for vendor, contractor, and team member payment inquiries • Monitor accounts payable aging and upcoming cash requirements, escalating concerns to the Controller • Prepare and issue invoices to school district partners according to contracts, purchase orders, and billing schedules • Apply partner payments and maintain accurate accounts receivable records • Monitor accounts receivable aging and follow up on past-due balances • Resolve billing inquiries with partners and internal teams • Prepare accounts payable accruals and support month-end close activities • Reconcile accounts payable and accounts receivable subledgers to the general ledger • Resolve discrepancies and maintain audit-ready documentation • Collaborate with the Controller, Staff Accountant, and cross-functional teams • Help standardize accounts payable and billing processes and systems across the organization

🎯 Requirements

• 3–5 years of experience in accounts payable, billing, accounts receivable, or a related accounting role • Ability to process high transaction volumes accurately and within established deadlines • Working knowledge of accounts payable and accounts receivable best practices, including 1099 reporting and accruals • Experience with ERP or accounting systems and AP automation or spend management platforms • Ability to learn new systems quickly • Advanced proficiency in Microsoft Excel, including lookups, pivot tables, and reconciliations • Exceptional attention to detail and organizational skills • Track record of consistently meeting recurring deadlines • Strong written and verbal communication skills • Ability to work independently, adapt to changing priorities, and thrive in a fast-growing organization • Experience working in a multi-entity environment or supporting integration of acquired organizations • Experience with Ramp or a comparable AP automation platform • Experience with contract-based billing, particularly in education, professional services, or SaaS • Associate’s or bachelor’s degree in Accounting, Finance, or a related field; equivalent experience will be considered • Standard work hours are Monday–Friday, 8 a.m.–5 p.m. • Background check and drug screening required
