• Administer and coordinate company and legally mandated leave programs, including FMLA, ADA, state-mandated leaves, Workers' Compensation, and company-specific policies. • Use leave management systems to track, document, and maintain leave cases, ensuring data accuracy and timely workflow completion. • Gather, review, and process leave documentation, eligibility information, approvals, and employee communications. • Serve as the primary employee contact for leave status, documentation requirements, benefits impacts, and leave-related inquiries. • Partner with Payroll, Benefits, Human Resources, and third-party vendors on leave-related pay and benefits activities, including PTO utilization, disability payments, leave pay coordination, benefits continuation, and arrears management. • Process employee status changes related to leaves, including system transactions, return-to-work activities, and record updates. • Complete, submit, and maintain leave documentation, state disability forms, and case records. • Coordinate communication with employees, leaders, Human Resources, vendors, and cross-functional partners to resolve issues. • Track and administer employee accommodation requests and related documentation. • Research and resolve non-routine leave, payroll, and benefits issues; recommend solutions and escalate as appropriate. • Assist with training and guidance for less experienced team members. • Participate in process improvements, system enhancements, special projects, and development of standard operating procedures and reference materials.
• Experience managing Leave of Absence cases in multiple states • Strong knowledge of federal and state leave laws, including FMLA, ADA, and state leave programs, plus benefits regulations • Experience managing complex payroll interactions related to leave administration • Proficiency in AbsenceTracker or a similar leave management system • Ability to manage a high volume of cases and competing priorities • High attention to detail and strong follow-through on open items • Clear and professional communication with employees, managers, and cross-functional partners • Strong analytical and problem-solving capabilities, including identifying process gaps or missing steps • Ability to work effectively in a fast-paced, deadline-driven environment • Commitment to confidentiality and compliance with privacy regulations • Ability to accurately edit template communications and send error-free messages • Associate degree required and/or relevant work experience • Minimum 2 years of experience in leave administration, benefits, HR operations, or a related field, or equivalent combination of education and experience • Employment eligibility verification through E-Verify
