📋 Description

• Manage program logistics, including venue/site selection, contract negotiations, travel, food and beverage, meeting room sets, audio-visual and production, hotel rooming lists, ground transportation, and ancillary vendors • Independently plan, organize, and execute high-quality virtual event meetings with multimedia components • Configure virtual platforms, manage technology vendors, schedule and execute rehearsals, and support attendees and clients with connection or basic technical issues • Build and customize registration websites and recruitment material templates and coordinate distribution to attendees • Ensure quality control of client materials and develop best-practice protocols when appropriate • Oversee program recruitment and attendee management • Review and approve meeting specifications and recommend cost reductions • Provide standard and customized client reports • Attend project briefings, kick-off meetings, and internal project-status meetings • Work on-site and lead logistics teams at large meetings, coordinating with Client Services, venues, and vendors • Review and reconcile final invoices and pass-through costs • Track and prepare attendee spend reports for Open Payment Guidelines compliance • Maintain dialogue with the line manager and project team, evaluate progress, and initiate scope changes when necessary • Negotiate vendor rates and contract terms • Own assigned meeting budgets, identify risks, and advise project teams and clients on corrective actions • Identify operational improvements to improve execution, efficiency, or costs and present plans to management • Build meeting budgets based on client parameters and represent the role on pitches • Manage key vendor relationships when assigned • If a people manager, oversee career development, training, mentoring, forecasting, and risk reporting for direct reports • Maintain or exceed minimum billable utilization percentages • Demonstrate commitment to diversity, equity, and inclusion

🎯 Requirements

• Bachelor’s degree or 8 years in a pharmaceutical hospitality role • Experience planning live, virtual, or hybrid meetings • Knowledge of hotel bookings and air travel • Experience with Cvent or another similar registration platform • Excel proficiency • CMP (Certified Meeting Professional) preferred but not required • Ability to work 40 hours per week, Monday through Friday • Willingness to work evenings and weekends for live events • Willingness to travel 35% • Ability to reach, grasp, stand, sit for long periods, walk, talk, and hear • Ability to occasionally lift or move up to 25 pounds
