📋 Description

• Serve as trusted right hand, decision-maker, and primary administrative operator for the CTO • Provide targeted operational and calendar support for senior R&D leaders, including VPs, EVPs, and Chief Architect • Master complex, high-context calendar management for the CTO • Coordinate agendas, notes, action items, and follow-through for leadership meetings • Synthesize background details into executive 1:1 meeting descriptions • Manage the CTO's travel bookings, itineraries, and preferences via Navan • Process receipts and expense reports in Ramp and ensure policy compliance • Track annual training allocations and per-person travel budgets • Maintain offsite Budget vs. Actual trackers • Coordinate weekly Friday Demo Day and maintain rotation calendars • Administer internal recognition programs, including submissions, voting, and rewards • Coordinate conference and leadership offsite logistics, attendee tracking, team mapping, badges, and vendor payments • Administer Google Drive and Outlook groups • Execute new-hire onboarding access workflows and quarterly access audits across Slack, Google, and Exchange • Act as a cross-functional operational connector across Technology for a roughly 350-person R&D organization spanning Engineering and Product • Coordinate projects, track budgets, solve problems proactively, and build relationships across the company

🎯 Requirements

• 3+ years as an EA supporting VP/C-level executives, ideally in a fast-paced technology, SaaS, or AI environment • Prior experience supporting CTO, CPO, or other technology-adjacent team(s) • Direct, clear, and proactive communication style • Ability to synthesize complex information quickly and communicate clearly across all org levels • Google Workspace (Sheets, Forms, Docs, Drive) • MS Outlook/Exchange • Slack • Zoom • Navan • Ramp • Guru • Claude/AI tooling • Lattice • Gong • Highly organized with exceptional attention to detail • Strong calendar prioritization skills • Ability to navigate matrixed org structures
