📋 Description

• Issue agent numbers, activations, terminations, and non-codes. • Review and update Agent Automation for rehires and approvals. • Process state appointments, terminations, and expired licenses — including adding, updating, and renewing. • Verify and update biographical, demographical, and banking information. • Process promotions, demotions, transfers, and splits. • Maintain error reporting and perform reject corrections. • Ensure hierarchies are set up properly to support accurate commission payments. • Handle and secure sensitive agent information, including personal and payment-related data. • Make logical, independent decisions based on company guidelines. • Monitor group email boxes and respond in a timely manner. • Answer phone calls and emails; resolve complex problems and suggest alternatives. • Communicate with state insurance boards, agents, and management — both verbally and in writing. • Communicate with external vendors and the Department of Insurance on behalf of the company. • Report workflow issues, interdepartmental concerns, emergencies, or unsafe situations to supervisor with a sense of urgency. • Participate in testing stages of Licensing Systems programming and implementation. • Complete analysis to process and pay state invoices. • Assist with in-office tasks such as filing, sorting, scanning, mail distribution, and returned mail. • Participate in state audits requiring accuracy of mass data and timely evaluation. • Review compliance vendor information and suggest updates. • Assist with departmental agent communications. • Perform periodic data evaluations and update records as necessary to ensure accuracy. • Other duties and/or projects as assigned.

🎯 Requirements

• High school diploma required; college degree preferred. • Minimum 2 years of office experience. • Accounting experience preferred. • Insurance background, especially Agent Licensing, desirable. • Experience with database management very helpful. • Proficient in Microsoft Word, Excel, and Outlook; ability to learn additional applications such as MS Access. • Excellent alpha, number recognition, and math aptitude skills; minimum typing speed of 40–45 WPM. • Excellent oral and written communication skills, including competency in grammar and spelling. • Ability to analyze information and draw independent, logical conclusions. • Ability to communicate and interact with department staff, other departments, external vendors, and the Department of Insurance. • Ability to maintain confidentiality with sensitive data. • Ability to be accurate, organized, and detail-oriented with the ability to concentrate for extended periods and meet department and production-driven deadlines.
