• Manage the Workforce Innovation & Systems grant administration portfolio across the full grant lifecycle from award through closeout • Coordinate execution and performance across multiple concurrent private and public grants • Establish and maintain grant administration systems, policies, SOPs, templates, trackers, and audit-readiness protocols • Serve as the central coordination point across Program, Finance, Legal, and Development • Receive and log grant awards and review terms, conditions, reporting requirements, and operational implications • Coordinate grant launch activities, including SharePoint setup, grant coding requests, financial tracking inputs, and system access needs • Lead administration setup and coordination of RFP and site-selection processes • Manage the full sub-award lifecycle, including documentation, contract submissions, workflows, budgets, attachments, signatures, and execution • Coordinate sub-award invoicing, procurement, and purchase-order workflows with Finance and Program teams • Monitor portfolio financial activity and adherence to federal and funder requirements • Support grant monitoring, budget and financial reviews, subrecipient compliance checks, narrative report compilation, site visits, performance reviews, and corrective action plans • Lead grant closeout planning and execution, including final deliverables, documentation completeness, and archival processes • Ensure audit readiness and compliance with funder closeout requirements • Identify and escalate compliance, financial, capacity, and reporting risks to the Senior Director • Coordinate with Specialist staff to ensure continuity, cross-training, and workload coverage • Provide dotted-line portfolio direction to Specialist(s)
• Bachelor’s degree in Business or Public Administration, Nonprofit Management, Project Management, Human Services, or a related field • Master’s degree preferred but not required • Professional certifications such as PMP or grant management desirable • Minimum 3–5 years of progressively responsible experience in grant administration, project management, nonprofit administration, or other operational roles • Experience using Microsoft Office Suite, SharePoint, Excel-based tracking tools, dashboards, and collaboration platforms • Ability to execute work with accuracy, timeliness, and accountability • Understanding of regulatory, funder, and organizational requirements • Ability to manage risk and align stakeholders around common goals • Ability to communicate clearly and maintain accurate, organized records • Understanding of the full grant management process from opportunity identification through closeout • Ability to improve efficiency, effectiveness, and scalability through process and systems enhancements • Ability to lift up to 10 pounds occasionally • Ability to work long hours sitting at a desk and using a computer
