📋 Description

• Serve as the primary point of contact for confirmed speakers and moderators from sourcing and preparation through presentation collection, onsite support, and post-event communication • Build and manage speaker confirmation, preparation, and feedback processes for HIMSS events • Arrange speaker meetings for session and panel preparation • Provide administrative support to event and content program committees and advisory groups • Maintain speaker agreements and coordinate with Finance to process travel costs or honoraria • Support Senior Content Leads with content programming, speaker management, and session management • Coordinate calls for speakers and case studies with Professional Development • Manage agenda and speaker details on HIMSS websites, event websites, and apps • Use the HIMSS speaker management platform to onboard speakers, update agendas, and build the talent database • Run queries for the HIMSS International content team as needed • Manage program documents and ensure cross-document alignment and accuracy • Coordinate scheduling, event materials, communications, and reminders • Update internal teams with the latest agenda information • Structure and maintain scalable data with consistent formats, audit trails, and version control • Conduct regular audits for duplicate or missing information and ensure data integrity • Manage the speakers bureau and collaborate with global content leads, Professional Development, and Membership • Assist HIMSS chapters with content and speaker access • Provide onsite support at select HIMSS events, with travel approximately three times per year • Perform other duties assigned to achieve HIMSS goals and strategic objectives

🎯 Requirements

• Must reside in one of the eligible states: Alabama, California, Colorado, District of Columbia, Delaware, Florida, Georgia, Illinois, Indiana, Kansas, Kentucky, Massachusetts, Maryland, Maine, Michigan, Missouri, North Carolina, New Hampshire, New Jersey, Nevada, New York, Ohio, Pennsylvania, South Carolina, Tennessee, Texas, Utah, Virginia, Vermont, Washington, or Wisconsin • Bachelor’s Degree in business, communications, project management, or related field • Three to five years of experience in event content programming or a similar role communicating with external subject matter experts • Healthcare or technology experience preferred • Exceptional project management skills and ability to manage competing priorities • Excellent verbal and written communication skills • Ability to interact effectively with individuals at all levels of responsibility and authority • Understanding of streaming technologies and event registration platforms/tools • Comprehensive knowledge of Microsoft Outlook, PowerPoint, Teams, SharePoint, and Excel • Experience or working knowledge of Events Air, Monday.Com, and Salesforce strongly preferred • Demonstrated experience using registration systems, web platforms, and content management software • Legally permitted to work in the United States
