📋 Description

• Coordinate contracts from intake through review, approval, execution, and filing • Assist Sales and Operations with contract routing and approvals • Ensure exhibits, scopes of work, insurance requirements, schedules, and supporting documents are complete • Maintain contract records and executed agreements in contract management systems • Track contracts requiring action, approval, signature, renewal, or follow-up • Coordinate with Legal, Operations, Project Management, Risk, and leadership when additional review is needed • Manage customer onboarding, pre-bid, vendor, and subcontractor qualification requirements • Coordinate qualification packages and track financial, safety, insurance, bonding, licensing, certification, project experience, and reference information • Coordinate annual and periodic renewals • Track expiring insurance, licenses, certifications, and other required documents • Support customer audits and compliance reviews • Support project teams with contract and compliance documentation • Track subcontractor onboarding requirements • Create subcontractor agreements using company boilerplate templates • Manage lower-tier subcontractor compliance within external portals • Monitor notices, change-order documentation, and contract correspondence • Resolve or escalate missing, incomplete, conflicting, contract, insurance, or compliance documentation • Maintain reports showing contract, qualification, and compliance status • Track open and aging items and provide visibility to owners • Identify process gaps and bottlenecks • Support workflow improvements, data cleanup, document migration, and system projects • Develop and maintain templates, checklists, and processes • Reduce manual work, delays, and errors

🎯 Requirements

• Associate’s or bachelor’s degree in business administration, Construction Management, Supply Chain Management, Risk Management, or a related field preferred • Relevant experience can substitute for formal education • 3–5 years of relevant experience in contract administration, construction or industrial project administration, customer onboarding, prequalification, procurement, vendor/subcontractor management, compliance, or risk management • Experience in heavy civil construction, industrial services, environmental services, specialty contracting, equipment rental, or commercial construction preferred • Knowledge of customer onboarding and pre-bid processes • Knowledge of contract administration and document control • Knowledge of vendor and subcontractor qualification • Basic insurance and risk concepts • Construction or industrial terminology • Contract lifecycle management • Safety and regulatory documentation • Strong organization and follow-through • Ability to identify issues and know when to escalate • Clear written and verbal communication • Ability to work across teams and manage competing deadlines • Proficiency with Microsoft Excel, Word, Outlook, and Teams • Experience with SharePoint or similar document management systems • Experience with contract management systems such as Ironclad, DocuSign CLM, Contract Logix, or similar • Experience with ERP systems such as NetSuite, SAP, Viewpoint, Oracle, or similar • Reporting and data tracking
