📋 Description

• Supervise financial support services employees to ensure quality service delivery, SOP alignment, client satisfaction, and employee performance • Supervise staffing and workflow volumes using a workflow management system • Allocate staffing resources by shift or service line based on work volumes • Ensure billing workloads are appropriately balanced • Manage employee lifecycle activities including interviewing, onboarding, training, development, succession planning, and off-boarding • Identify additional training needs • Monitor client inventory balances and ensure timely billing of unbilled balances and follow-up on accounts receivable • Ensure compliance with established workflows from proforma creation through invoice collection, including reviews and approvals • Serve as the initial point of contact for team members’ daily questions and concerns • Respond to customer inquiries and resolve client-escalated issues • Communicate significant issues and proposed solutions to clients and managers • Communicate with the law firm regarding aged balances and elevate problem accounts to management • Maintain knowledge of client billing and payment terms, discounts, and lawyer and client preferences • Execute administrative reports and people/production processes on time and according to operating standards • Support manager with P&L activities and manage overtime and time-off impacts • Ensure e-billed invoices are transferred to the e-billing vendor promptly • Ensure compliance with company and client policies, SLAs, and quality standards; use corrective action when needed • Create development plans and challenging assignments with the manager • Set goals and objectives, identify priorities, and provide ongoing performance feedback • Support monthly Client Service Reviews or Quarterly Business Reviews • Maintain strong knowledge of clients’ businesses and service impact • Foster cross-training and teamwork to optimize client service delivery

🎯 Requirements

• Associate or bachelor’s degree required with concentration in Business, Finance or other related discipline; commensurate experience may be considered in lieu of education • Minimum of 3 years of experience supervising all or a portion of the billing function in a professional services environment preferred • Minimum five years of billing experience in a law-firm or professional organization required; six years or more preferred • Exemplary customer service skills • Excellent verbal, written, leadership, and interpersonal skills • Proficiency with 3E, Elite, or Aderant • Proficiency with an industry standard collection software tool • Proficiency with MS Excel spreadsheets, including pivot tables, charts and graphs, and formulas • Proficiency in MS Word and PowerPoint • Familiarity with legal terminology and document formats used in legal work • Ability to multitask and meet stringent deadlines • Excellent organizational and time-management skills • Ability to establish and foster excellent team collaboration and take ownership of individual assignments/projects • Attention to detail required • Successful completion of pre-employment background and drug screen • Employees can work remotely
