📋 Description

• Coordinate and track multiple facilities projects from initiation through completion • Manage high-volume work orders and ensure timely responses and resolution by internal teams and vendors • Serve as primary point of contact between internal teams, vendors, and building management • Communicate project timelines and expectations to field and regional teams • Solicit, review, and manage vendor bids and proposals • Issue and manage work orders through the FEXA CMMS • Coordinate contractor site access, scheduling, and on-site activity • Ensure vendors meet compliance, insurance, and safety requirements • Coordinate with studio field teams to minimize disruption during project execution • Enter and update project data in FEXA • Serve as on-call point of contact for studio teams up to twice per month • Complete ad hoc projects, including vendor performance reviews and vendor pilot rollouts • Support other Facilities Project Coordinators who are out of office • Support daily studio maintenance and upkeep through work queue management • Report directly to the Senior Facilities Field Manager

🎯 Requirements

• Ideal candidate residing in the Pacific Time Zone • Capability to travel to the Arlington, VA headquarters as needed • 2+ years of experience in facilities coordination, vendor management, or multi-site operations • Aptitude for prioritizing multiple projects • Self-starter who takes ownership and drives tasks forward independently • Ability to identify problems, work through solutions, and connect the dots across departments • Ability to process complex information and communicate it clearly and concisely • Ability to manage multiple competing priorities in a fast-paced, high-volume environment • Strong file management and record-keeping habits • Highly detail-oriented • Professionalism and growth mindset
