📋 Description

• Facilitate IT demand management by capturing, evaluating, and prioritizing technology requests • Establish and enforce intake standards and classify demands as service requests, enhancements, optimization efforts, or projects • Develop and communicate portfolio dashboards, executive summaries, scorecards, and pipeline reports • Partner with business and IT stakeholders to organize and mature business cases • Coordinate approvals, estimates, discovery findings, architectural reviews, and stakeholder alignment • Facilitate cross-functional assessment of regulatory, security, technical, and operational risks • Monitor and administer the demand intake lifecycle from submission through approval, deferral, rejection, or conversion • Coordinate assignment and tracking of non-project work through operational pathways • Ensure initiatives are reviewed for legal, regulatory, privacy, and organizational compliance • Govern the demand pipeline and portfolio backlog through scoring, ranking, prioritization, and sequencing • Define and refine prioritization criteria, scoring methods, and review practices • Facilitate recurring demand and portfolio review forums and prepare decision materials • Maintain accurate portfolio data, approvals, scores, estimates, and disposition decisions in management tools • Leverage ServiceNow Strategic Portfolio Management for demand, portfolio, resource, project, reporting, and workflow management • Partner with the PMO to track portfolio health and strategic value delivery • Monitor IT resource capacity and recommend timing, sequencing, and tradeoffs • Design and maintain tools, templates, and intake frameworks for resource planning and demand transparency • Partner with project and operational leaders to monitor execution and adjust allocations or priorities • Provide and oversee timely, efficient, accurate customer service • Support organizational vision, mission, values, safety, confidentiality, compliance, and corporate integrity • Collaborate on process improvements using Lean principles, concepts, and tools • Perform additional duties of similar complexity as assigned

🎯 Requirements

• Bachelor’s degree or combination of education, related industry certification, and experience to perform the full scope of the position • Minimum of five (5) years of IT or similar professional experience • Recent experience, preferably within the last three to five years, supporting demand intake, portfolio coordination, project intake, operational prioritization, or resource capacity planning • Experience in a healthcare, clinical, hospital, ambulatory, affiliate, or similarly regulated environment • ServiceNow experience highly preferred, particularly ServiceNow Strategic Portfolio Management, Demand Management, Project Portfolio Management, Resource Management, reporting, workflow automation, resource visibility, intake scoring, prioritization, and portfolio decision support • Experience with similar enterprise portfolio management platforms may be considered • Ability to travel to business functions, trainings, and meetings at St. Charles Health System and affiliate sites; occasional overnight travel required • Reads, writes, and speaks English • Intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and Visio • Intermediate to advanced proficiency in database management and document preparation • Demonstrated experience with computer applications for project management and electronic medical record keeping systems • Experience using ServiceNow or similar enterprise workflow, ITSM, demand management, or portfolio management platforms highly preferred • Must be able to wear required personal protective equipment • Ability to perform the stated physical requirements
