📋 Description

• Oversee allocated patient concierge projects day to day through closeout • Liaise with PCS Coordination, Finance, IT, clients, clinical trial sites, vendors, and Illingworth business units • Provide project-specific training and oversee PCS coordinator work • Attend handover and kickoff meetings and understand study indication, patient demographics, budgets, deliverables, and timelines • Set up trial environments in the PatientGO portal with PCS Concierge Coordinators • Lead creation and translation of site- and ethics-ready patient-facing materials • Guide clients on Travel and Expense Reimbursement Policy setup and management • Manage study budgets through completion and reconciliation; prepare forecasts, invoices, and performance reports • Identify scope changes and obtain client approval for change orders • Manage external vendors and ensure compliance with service-level and contractual agreements • Conduct monthly project reviews covering study progress, finances, client relationships, risks, resources, and vendors • Collaborate with Illingworth Research Nursing and Medical Imaging divisions • Maintain and share relevant industry, regulatory, and procedural knowledge • Set up and distribute expense reimbursement materials and patient welcome packs • Maintain project communications, lead meetings, and distribute meeting notes and actions • Coordinate with Research Nursing Project Leads where applicable • Review and approve project timesheets against visit trackers and budgets • Develop and grow the service and team with the Director of Patient Concierge Services and Business Development • Ensure change orders are executed efficiently with the PCS Commercial Manager • Maintain centrally stored project oversight trackers and business continuity measures • Serve as the first point of contact for CRO and sponsor clients, trial-site heads, vendors, and internal functions; liaise on issue management and resolution

🎯 Requirements

• Experience and expertise in patient concierge services and/or clinical trial project management implied by the role responsibilities • Knowledge of clinical SOPs, Good Clinical Practice (GCP), and applicable regulatory requirements • Ability to manage project budgets, forecasts, invoices, reconciliations, and change orders • Ability to manage external vendors against Service Level Agreements and contractual agreements • Ability to conduct project reviews, identify risks and issues, and escalate to Senior Management • Ability to review and approve project timesheets against visit trackers and budget allowances • Ability to travel domestically and internationally for face-to-face client and vendor meetings • Equivalent experience, skills, and/or education will be considered
