📋 Description

• Support daily planning, coordination, and production of small, mid, and large-scale virtual, hybrid, and in-person meetings, retreats, and conferences • Co-author and own tracking of the master event project plan and timeline • Manage the event inbox and daily communications, serving as the routine contact for attendees and stakeholders • Oversee registration data, attendee records, tracking sheets, and event documentation • Monitor registration pipelines and manage a registration consultant • Maintain event budgets, log expenses, track revenue, and flag variances • Track action items and deadlines from weekly team meetings • Liaise with external vendors, including research, contract negotiation, scope alignment, and on-site support • Research venues and locations as needed • Manage hotel room blocks, contractual attrition deadlines, and master hotel rooming lists • Coordinate lodging updates, modifications, and confirmations • Support on-site logistical execution, registration, check-in, and real-time event needs • Support or lead smaller regional events and salons as needed • Collaborate with the Director, DA staff, external registration consultants, vendors, partners, and progressive movement leaders

🎯 Requirements

• 5 to 7 years of experience in event coordination, project management, or high-level administrative support • Experience in progressive movement organizations, nonprofits, or political campaigns highly valued • Experience planning and producing multi-day conferences for diverse audiences • Experience executing and/or managing virtual events • Experience with project management or coordination on large-scale initiatives • Ability to handle multiple key initiatives concurrently • Experience working in social justice organizations, progressive politics, and/or philanthropy • Experience working with historically underrepresented communities and in-depth knowledge of event vendors who identify as members of these communities • Experience monitoring registration pipelines and database systems • Familiarity with event technology platforms such as Whova or specialized CRM databases is a strong plus • Diplomatic approach to internal and external stakeholders and conflict resolution • Demonstrated experience maintaining complex project plans, tracking milestones, and keeping teams accountable to deadlines • Ability to work occasional long hours, including nights and weekends, as required by event schedules and production deadlines • Ability to operate effectively under pressure, prioritize workflow, meet deadlines, and model calm leadership as needs and priorities change • Experience managing vendors and developing early- to mid-career team members • CMP or other relevant event/project management certification is a plus • Excellent written and oral communication skills • Exceptional proficiency with Microsoft Excel and Google Sheets for data entry, budget tracking, and list management • Airtable experience is a plus • Strong interpersonal skills, social-emotional intelligence, and collaborative work style • Excellent organizational and analytical skills with meticulous attention to detail • Strong diplomatic skills for influencing others, resolving problems, managing projects, and achieving appropriate solutions • Commitment to collaborating with staff, board members, volunteers, donors, program participants, and other supporters • Discretion in handling confidential and sensitive issues • Deep commitment to social justice, including gender, racial, and economic justice • Awareness and sensitivity to philanthropy’s power dynamics • Ability to receive and offer constructive criticism and learn from successes and failures • Cultural competency and effective communication with people representing diverse interests, styles, and backgrounds
