• Manage all facets of full-service university study abroad programs of various size and scope, including group air, hotel, and transfers • Serve as the primary point of contact for study abroad clients • Source air charters, hotels, meeting space, transportation, team meals, and AV requirements • Provide hotels with rooming lists, revisions, and team itineraries • Request and review final folios and invoices and provide them to coaches/universities • Manage programs from concept to completion, including goals, objectives, supplier contracting, cost estimates, execution, and reconciliation • Lead discovery calls and engage customers to understand meeting needs, goals, and objectives • Include internal stakeholders in program planning • Make destination recommendations and submit eRFPs through Cvent • Produce accurate client and vendor documents and reports • Negotiate with vendors and execute contracts covering terms, due dates, cost savings, and concessions • Facilitate timely contract execution between parties • Provide meeting owners/requesters with summaries of terms, due dates, total costs, and deposits • Record budgets, costs, savings, and contract execution in Cvent or applicable systems • Travel onsite with programs as needed and maintain a professional demeanor • Manage program reconciliation, invoicing, accounts payable, and accounts receivable • Follow up to ensure timely payment processing and revenue reconciliation • Provide exceptional service, manage meeting-owner relationships, and offer professional recommendations • Secure repeat business • Perform other duties as assigned
• High school diploma or equivalent is required • Minimum of 3 years meeting planning experience required • Minimum of 3 years Cvent knowledge • Sabre knowledge • Google Suite knowledge • University student and athletic group experience is a plus • Strong knowledge of domestic and international destinations, hotel brands, and venues • General working knowledge of e-RFP, registration technology, and online booking tools used in events • Proficiency in Microsoft Office Suite • Ability to perform basic math • Ability to read and interpret information • Attention to detail • Ability to work independently and as part of a team • Professional written and verbal communication • Ability to meet deadlines and prioritize simultaneous requests • Creative and analytical thinking with strong problem-solving and consultative skills • Ability to remain calm under pressure and proactively contribute • Ability to work evening hours, weekends, and longer hours during high-volume periods • Regular and reliable attendance • Ability to travel onsite with programs as needed
