📋 Description
• Set up new vendor profiles and collect onboarding documentation such as Form W-9 and tax records • Maintain accurate vendor master files • Review, analyze, and investigate purchase orders, vendor bills, and goods receipts • Ensure accurate general ledger coding, correct pricing, and required management approvals • Book vendor bills and journal entries • Process electronic payments • Reconcile vendor statements against general ledger accounts • Perform daily and weekly bank transaction reconciliations • Assist with rolling cash flow and payment forecasts for leadership • Conduct AP aging reviews and prepare cash forecasts • Generate ad hoc reports and reconciliations for management • Maintain and optimize accounting systems and workflows • Collaborate with accounting team members and client stakeholders • Report directly to the Company Controller and attend client meetings and updates during US Eastern Time working hours
🎯 Requirements
• Bachelor’s Degree in Accounting or Finance • At least 1–3 years of proven experience as an AP specialist, Accountant, or Bookkeeper • Solid understanding of AP workflows, GL account coding, bank reconciliations, and financial reporting principles • Advanced Excel proficiency, including pivot tables, lookups, SUMIF functions, and macros • Mandatory availability for updates and meetings during US Eastern Time working hours • Excellent verbal and written communication skills • Organized, independent, self-motivated, detail-oriented team player • Proactive and able to take initiative without constant direction • Experience servicing US-based clients or working with US GAAP and tax processes is preferred • Hands-on experience with ERP systems such as QuickBooks Online, NetSuite, or AppFolio is preferred • Basic competency using AI/prompting tools; strong prompting skills are a plus • Legally eligible to work remotely as a freelancer or contractor based in the Philippines • Natural-born Filipino citizen or foreigner with a valid working visa or permit to work legally in the Philippines • Own computer or laptop capable of handling work demands • Fast and reliable home internet connection of at least 200–300 Mbps • Quiet, distraction-free home work environment • Willingness to work graveyard shifts or changing US schedules • Overtime must be pre-approved by the client
