• Maintain program schedules, including sessions, training, facilitator and mentor availability, and key milestones • Share schedules with partners for confirmation • Schedule facilitator and mentor training sessions before program launches • Coordinate logistics for internal kickoff calls for first-time programs • Manage session recordings from capture through storage and distribution • Keep the wider team updated through timely status updates and maintained trackers • Collect partner assets ahead of launches • Generate and issue platform access codes • Distribute pre-program materials, logins, and technical guides • Coordinate localization needs and route content for translation • Confirm final learner enrollment and record headcounts • Support survey setup in Airtable under the Program Operations Specialist’s direction • Collect and compile survey responses and flag gaps or low response rates • Maintain complete program records, including attendance and progress tracking • Compile and report program data to the OKR tracker • Issue completion certificates and coordinate microcredential issuance • Prepare organized data and records for analysis and debriefs • Send routine partner communications and log them • Coordinate learner interviews and story collection with the marketing team • Compile and share stories, photos, quotes, and statistics with marketing • Follow the shared operational playbook and identify unclear or overly complex steps
• Exceptional organization and attention to detail • Strong task and time management skills • Ability to coordinate schedules across time zones and multiple stakeholders • Clear, proactive written communication skills • Comfortable working in a fully remote, asynchronous, cross-cultural team • Confidence using Excel, Google Sheets, and Airtable • Experience with a project or task management tool such as Asana or comparable • Quick learner of new platforms • Reliable follow-through and ability to chase missing information and close the loop • Professional or fluent English • Some Spanish ability preferred • Some experience coordinating programs, projects, or events is desirable • Exposure to education, training, or learning delivery is desirable • Familiarity with online learning delivery, session recordings, credentialing, or badging is desirable • Comfort with access codes, logins, and basic troubleshooting is desirable • Interest in games, game making, or creative technology is desirable
