📋 Description

• Set up new payroll systems or clean up existing ones, including earnings codes, deductions, tax settings, departments, and classes. • Add and update employee profiles (wages, classifications, benefits, deductions, direct deposit, tax forms, etc.). • Configure pay schedules (weekly/biweekly/semimonthly/monthly) and ensure they align with company policies. • Coordinate integration between payroll systems and accounting software (e.g., QuickBooks). • Maintain accurate PTO, sick leave, and holiday policies within the payroll system. • Monitor payroll tax settings and ensure proper withholding for federal, state, and local taxes. • Assist with registration for new state tax accounts (withholding, unemployment) when companies hire in new states. • Coordinate or assist with filing payroll tax returns (941, 940, state withholding, state unemployment, etc.) and resolve any notices. • Ensure compliance with wage and hour laws, minimum wage, overtime rules, and other payroll-related regulations. • Maintain proper documentation for audits and respond to payroll-related inquiries from tax agencies when needed. • Answer questions from clients and employees about payroll checks, deductions, garnishments, PTO, and tax withholdings. • Help clients understand payroll reports, payroll tax liabilities, and due dates. • Provide guidance on best practices for payroll processes and recordkeeping. • Record payroll journal entries into the accounting system and reconcile payroll-related accounts. • Assist with monthly bookkeeping tasks such as bank/credit card reconciliations, vendor payments, and basic financial reports. • Maintain organized digital records of payroll and bookkeeping documentation.

🎯 Requirements

• Experience in payroll processing and bookkeeping (e.g., 2–4 years preferred). • Familiarity with payroll platforms (e.g., QuickBooks Payroll, Gusto, ADP, Paychex, etc.) and accounting software (e.g., QuickBooks Online/Desktop). • Basic understanding of payroll tax rules (federal, state, and local) and wage & hour regulations. • Strong attention to detail and accuracy with numbers and data entry. • Ability to handle sensitive and confidential information with discretion.
