📋 Description

• Coordinate day-to-day business activities • Track actions, deadlines, and outstanding items • Follow up with team members, suppliers, and contractors • Coordinate meetings, handovers, and key dates • Identify problems early and escalate when needed • Manage the CEO’s business calendar • Manage and prioritise routine business emails • Draft routine responses and follow-ups • Track CEO actions and outstanding items • Filter unnecessary interruptions • Prepare information the CEO needs for decisions • Maintain company systems, registers, and records • Create and maintain SOPs, checklists, and templates • Ensure agreed processes are followed • Simplify and improve work processes • Use AI daily to work faster and smarter • Identify repetitive work suitable for automation • Build simple AI and automation workflows • Introduce technology that saves time or improves accuracy • Help the team adopt better systems

🎯 Requirements

• Philippines-based candidates • Experience in business coordination, operations management, or executive assistance, ideally within commercial construction, property, or fast-paced project-based environments • Familiarity or working knowledge of Google Workspace (Gmail, Chat, Sheets, Docs, Calendar, and Apps Script), Xero, Lightyear, ChatGPT, Claude, and Gemini is highly preferred • Exceptional planning skills and a methodical approach to tracking details and managing deadlines • Ability to identify operational bottlenecks, resolve issues independently, and escalate critical risks • Strong written and verbal communication skills for drafting professional correspondence and interfacing with subcontractors • Proactive, autonomous, and able to take ownership of outcomes • Ability to set up social media profiles, design assets, and write and schedule content across LinkedIn, Facebook, and Instagram • Must disclose existing ongoing roles or client work • Must reflect this engagement on LinkedIn as “Independent Contractor”
