📋 Description

• Run full-cycle recruitment for roles across science, engineering, regulatory, clinical, and business functions • Proactively source and headhunt passive candidates for hard-to-fill roles • Build and maintain talent pipelines and market maps for photonics/optics, AI/ML, regulatory affairs, and clinical operations • Run structured, candidate-friendly interview processes with hiring managers • Work with executive-level leaders and function leads to define role scopes and interview plans • Represent iLOF's culture and mission to candidates • Manage procurement platforms for lab consumables, equipment, and office/operational supplies • Source suppliers, compare quotes, and place and track orders • Coordinate AI platforms for invoicing and related administration • Process supplier invoices, track payments, and coordinate documentation with finance/accounting • Handle general administrative tasks, including document management and logistics for Portugal and UK teams • Help establish and improve operational processes as the company scales • Handle ad hoc operational and administrative projects

🎯 Requirements

• Proven experience in recruiting/talent acquisition, ideally including headhunting for hard-to-source or specialist roles • Comfortable working with AI tools day-to-day; this is mandatory • Experience using AI tools for sourcing, screening, outreach drafting, and market mapping • Experience working inside a startup environment • Comfortable with ambiguity, shifting priorities, and building processes • Experience or strong interest in medtech, biotech, or deep-tech hiring is a strong plus • Ability to hold substantive conversations with photonics engineers or regulatory leads about candidate quality • Genuine operator's mindset, including sourcing candidates on LinkedIn, obtaining supplier quotes, and reconciling invoices • Excellent written and verbal communication in English • High ownership and follow-through
