📋 Description

• Track deliverables and follow up with internal and external stakeholders to ensure timely task completion • Coordinate and oversee calendar management, scheduling, and appointment booking • Manage executive email communications and maintain an organized inbox • Collaborate with the Chief of Staff to align priorities • Follow up with team members to ensure task completion • Lead projects from start to finish with minimal supervision • Book travel and events, coordinating logistics including meals and venues • Schedule appointments and resolve conflicts proactively • Communicate professionally with government officials, media contacts, vendors, and business partners • Review and deconflict executive calendar commitments to maximize efficiency • Utilize AI tools to improve efficiency, productivity, and workflow management • Support magazine production activities, including theme development, article coordination, design support, and print coordination • Prepare, organize, and maintain executive documentation and communications • Develop office communications, event collateral, and creative mockups as needed • Create and update visual materials while ensuring brand consistency across all outputs

🎯 Requirements

• 2-3 years of experience supporting executives, senior leadership, or high profile professionals • Background in graphic design with the ability to maintain brand consistency across visual materials • Experience coordinating projects from concept through completion • Comfortable communicating with government officials, media representatives, and external stakeholders • Proficiency with AI tools to improve productivity and workflow efficiency • Strong organizational and project management skills • Ability to manage multiple priorities while maintaining attention to detail • Familiarity with design, publication, and production workflows is highly valued • Proficiency with Microsoft Office Suite, Google Workspace, calendar management platforms, virtual meeting tools, graphic design software, and AI-powered productivity tools • English and Spanish languages • Availability to work 8:00 AM - 5:00 PM [PST][PDT] (United States of America)
