📋 Description

• Coordinate with internal teams to ensure tasks and deadlines are completed efficiently • Assist with client onboarding and document collection processes • Support lead follow up efforts to help maximize consultation attendance and conversion opportunities • Maintain accurate client and prospect information within CRM systems • Monitor and track new leads through the intake and consultation process • Organize and maintain administrative records, documents, and correspondence • Manage executive calendars, appointments, and scheduling priorities • Provide general executive and operational support to ensure smooth daily business operations • Identify opportunities to improve administrative and client management processes • Maintain confidentiality when handling sensitive client and company information • Prioritize multiple assignments while maintaining a high level of accuracy and attention to detail • Prepare reports, summaries, and administrative documentation as needed • Respond to inquiries professionally and ensure timely communication • Serve as a primary point of contact for clients and prospective clients • Coordinate meetings, consultations, and follow up communications

🎯 Requirements

• Eastern Standard Time zone • Office hours: 8:00 AM to 5:00 PM • Previous administrative experience in a Law Firm mandatory • Calendar Management mandatory • Experience supporting client intake, lead follow up, or sales related administrative processes preferred • Ability to track prospective clients and maintain organized follow up systems • Experience handling client inquiries and coordinating consultations • Comfortable communicating with potential clients in a professional and persuasive manner • Experience working with CRM systems preferred • Familiarity with sales pipelines, lead tracking, and client relationship management preferred • Strong organizational skills • Confident and professional presence • Structured and methodical working style • Proactive mindset with the ability to anticipate needs • Excellent written and verbal communication skills • Time management and prioritization skills • Attention to detail • Ability to manage multiple tasks simultaneously • Professional and client focused communication • Comfort working independently in a remote environment • English and Spanish languages
