📋 Description

• Own every product run from production order to live for sale • Track purchase orders and production timelines with contract manufacturers • Confirm reorder lead times, secure production slots, and flag stock-coverage risks • Coordinate formula updates, reformulations, R&D contracts, and bench testing • Source raw ingredients, qualify suppliers, request samples/specifications, gather quotes, and compare quality and cost • Track raw-ingredient sourcing, documentation, material-lot decisions, and production invoicing • Solicit and compare freight quotes, book pickups, and coordinate domestic/international freight • Coordinate customs clearance, customs bonds, TSCA documentation, FDA release, and cargo insurance • Act as logistics point of contact between manufacturers, freight forwarders, and the 3PL • Create inbound shipments and configure Shipfusion SKUs and inventory data • Track 3PL check-in and resolve damaged, missing, or rejected-unit discrepancies • Request, edit, upload, and maintain Certificates of Analysis and related master spreadsheets • Coordinate label designs, proofs, dies, estimates, label files, web-ready formats, and 3D bottle renders • Update Shopify and Amazon catalog information, imagery, product weights, dimensions, stock states, and product pages • Plan Amazon FBA replenishment shipments around major sales events and allocate stock between 3PL and Amazon • Maintain master tracking spreadsheets and consolidate email, Slack, and Asana communications • Potentially expand into demand planning, landed-cost/COGS tracking, vendor and 3PL performance management, regulatory compliance, SOP documentation, product launches, and EU/UK expansion support

🎯 Requirements

• 3-5 years experience as an Operations Manager in the supplements, nutraceuticals, or similar industry • Exceptionally organised and detail-oriented • Fluent, or quick to learn, in logistics and import terminology, including freight quoting, customs/HTS/TARIC codes, cargo insurance, and 3PL operations • Strong spreadsheet and systems skills • Experience with Shopify, Amazon Seller Central, a 3PL platform such as Shipfusion or comparable, Asana, and Google Sheets • Clear, proactive written communication across email, Slack, and Asana • Ability to remain calm under shifting timelines and re-plan when production, shipments, or stock coverage change • Supplements, CPG, consumer health, integrative wellness, or other regulated consumer goods background is advantageous • Demand planning and reorder-point/safety-stock forecasting is advantageous • Landed-cost and COGS modelling is advantageous • Regulatory documentation experience with TSCA, FDA, GMP/NSF, import records, registrations, and renewals is advantageous • EU/UK import-export exposure, including EU TARIC codes, is advantageous • SOP writing and process documentation is advantageous • Vendor/3PL performance management and damage-claim handling is advantageous • Packaging and component sourcing is advantageous
