• Manage and prioritize the executive’s inbox daily, ensuring timely responses and organization. • Maintain and optimize calendar scheduling, including coordinating meetings and appointments. • Organize meeting agendas, follow-ups, and action items. • Protect executive time by filtering and prioritizing communications and requests. • Serve as a central communication hub between the executive and internal team members. • Act as a gatekeeper by redirecting inquiries and tasks to appropriate team members. • Ensure accountability by tracking delegated tasks and follow-ups. • Answer and manage incoming phone calls and virtual meetings professionally in English and Spanish, as needed. • Assist in coordinating day-to-day activities and operational priorities. • Track ongoing projects and ensure tasks are completed on time. • Maintain organized digital files, records, and documentation. • Support workflow management and administrative processes to improve operational efficiency.
• Fluency in both English and Spanish (written and spoken) is required. • Qualification: Bachelor's degree (or equivalent) in Business Administration, Management, Communications, or a related field is preferred. • Exceptional organizational and time management skills. • Strong written and verbal communication abilities. • High attention to detail with the ability to manage multiple priorities simultaneously. • Comfortable making independent decisions and exercising sound judgment. • Quick thinker with strong problem-solving skills and a proactive mindset. • Experience using Google Suite tools such as Gmail, Google Calendar, Google Docs, and Google Chat. • Ability to quickly adapt to new systems and tools. • Ability to work in a fast-paced environment with professionalism and discretion.
