⢠Anticipate and manage CEO's routine tasks, personal appointments, errands, and time-sensitive administrative matters ⢠Manage and prioritize CEO's emails, handle routine correspondence, and oversee calendar scheduling ⢠Provide proactive daily check-ins and updates via Slack/WhatsApp and ensure timely follow-ups ⢠Book and manage all travel arrangements, accommodations, and itineraries for personal and business travel ⢠Organize and prepare for personal and business events; manage personal and family appointments and bills ⢠Act as primary point of contact for administrative staff; communicate with team members and monitor task progress ⢠Support small business-related projects: organize materials, schedule meetings, manage timelines, and conduct basic research ⢠Maintain central log of company software/tools, manage user access and permissions, audit accounts, and set up password management ⢠Establish file naming conventions, organize shared drives, maintain company wiki/SOPs, and back up critical files ⢠Track software licenses, renewal dates, user seats, and review software usage for redundancies
⢠Proven experience as an Executive Assistant ⢠Fluent English ⢠Spoken Spanish would be an advantage ⢠Proactive in anticipating needs and resolving issues independently ⢠Highly organized and detail-oriented ⢠Ability to work independently with minimal oversight ⢠Flexible hours ⢠Reliable internet connection and ability to work remotely ⢠Experience managing email, calendar, and communications (Slack/WhatsApp) ⢠Experience booking and managing travel and personal arrangements ⢠Experience coordinating administrative staff and managing ad-hoc tasks ⢠Familiarity with password managers (LastPass, 1Password, Bitwarden) and software access management ⢠Experience organizing shared drives, file naming conventions, and maintaining a company wiki ⢠Basic research and project assistance skills
