📋 Description

• Provide executive administrative support including inbox triage, calendar scheduling, and recurring task management. • Liaise with bookkeepers for document collection, expense categorisation, and financial reporting coordination. • Support subscription, vendor, and software account management, including renewals and updates. • Create and maintain internal checklists and documentation for recurring business processes (e.g., onboarding, monthly workflows). • Assist with light HR admin tasks such as preparing contracts, onboarding forms, and leave tracking. • Draft and edit marketing materials including brochures, email campaigns, blog posts, and LinkedIn content. • Format and polish documents and presentations using tools like Word, PowerPoint, and Canva. • Support tender and proposal submissions by cleaning up templates and populating standard content sections. • Maintain and update reusable content libraries, including bios, capability blurbs, and service line descriptions.

🎯 Requirements

• Strong written and spoken English communication skills. • Excellent attention to detail and organisational abilities. • Experience using Xero, SharePoint, Microsoft Teams, and Office 365 (or similar tools). • Demonstrated experience supporting small business operations; familiarity with the Australian context is a bonus. • Comfortable working from rough notes, transcripts, or recordings to produce clean, professional content. • Strong document formatting and presentation skills using Microsoft Office and Canva. • Prior experience in a virtual assistant, operations, or marketing admin role is highly regarded.
