📋 Description

• Finalize client mailer designs, upload them to the app, and mark them ready • Check weekly orders for funding, mailers, phone numbers, routes, and delivery dates before the Friday print deadline • Fix or flag incomplete order details • Handle mailer changes and other requests from Client Success Strategists • Manage onboarding administration, including client details, welcome gifts, and importing clients' job history • Track deliveries, contact post offices when mail does not arrive, and log outcomes • Follow up on billing and maintain accurate client records • Use the company app, Canva, ClickUp, Slack, GoHighLevel, and Claude • Report to the Head of Operations • Meet success targets for order readiness, on-time shipping, request turnaround, delivery tracking, and billing administration • Complete training and progressively take ownership of order checks, request queues, delivery follow-up, billing administration, and process improvements

🎯 Requirements

• Experience coordinating recurring, deadline-driven work: operations, campaign, production or fulfillment coordination, or assisting a US business • A real eye for detail • A system for staying organized and ability to follow up without being chased • Comfort with web apps, spreadsheets and Canva • Clear written English • Marketing agency or print experience (nice to have) • Daily use of AI tools (nice to have) • Availability to work 7 AM to 4 PM Mountain Time (MST), Monday to Friday • Full-time availability and willingness to end other competing engagements, including freelance work, consulting, or paid side hustles/businesses
