📋 Description

• Answer inbound calls and manage phone reception • Call, text, and email patients for appointment reminders and updates • Respond to inquiries regarding insurance, copays, and appointments • Provide pre-appointment instructions, including medication reminders • Schedule, reschedule, and confirm appointments • Manage new patient referrals and bookings • Handle voicemail follow-ups and return calls • Maintain organized scheduling workflows to reduce no-shows • Process insurance e-fax referrals • Manage authorizations and eligibility checks • Organize and track patient-related documents • Make outbound calls for appointment confirmations, follow-ups, and no-shows • Conduct courtesy reminder calls prior to appointments • Assist with day-to-day administrative tasks • Maintain accurate and organized records and workflows • Serve as the first point of contact with professional, efficient, patient-friendly communication • Provide administrative support for referrals, authorizations, scheduling, and documentation

🎯 Requirements

• Strong phone etiquette and professional communication skills • Solid understanding of medical terminology (ophthalmology preferred) • High attention to detail, especially for insurance and documentation tasks • Ability to multitask in a fast-paced, high-volume environment • Experience with scheduling, patient coordination, and administrative workflows • Familiarity with insurance processes, authorizations, and e-fax systems • Comfortable using practice management systems and communication tools • Ability to quickly learn systems such as Medics Premier, Weave, or similar platforms • Basic proficiency in email, spreadsheets, and documentation tools • Background in healthcare (Medical Assistant, Medical Receptionist, or similar role) preferred • Experience in high-call-volume clinics or fast-paced environments preferred • Knowledge of appointment scheduling and no-show reduction strategies preferred • Bilingual in English and Spanish (required) • Proficient in speaking and writing English very clearly • Relevant work experience required • Must submit an NBI clearance and/or Local Police Clearance background check before onboarding • Available for video meetings with camera on when needed • Reliable laptop or desktop computer • High-speed internet connection, minimum 10 Mbps • Noise-canceling headset • Webcam for virtual meetings • Quiet, professional workspace
