• Take ownership of the billing backlog of approximately 50 rejected claims • Review rejected or unpaid claims in TherapyNotes and determine rejection, denial, or delayed-payment reasons • Correct billing discrepancies and resubmit claims when appropriate • Prioritize time-sensitive claims and reimbursement deadlines • Perform Accounts Receivable follow-up on outstanding insurance balances • Contact insurance companies for claim status updates and required documentation or corrective actions • Persistently follow up on unresolved claims until resolution or next action is established • Document claim statuses, payer responses, corrective actions, and follow-up requirements • Review and interpret Explanation of Benefits (EOBs) • Investigate insurance rejections, denials, payment discrepancies, and billing issues • Identify recurring billing issues contributing to claim rejections • Assist with billing disputes and reimbursement discrepancies • Establish an organized process for tracking rejected and outstanding claims • Flag complicated billing or recoupment issues for escalation • Provide updates on recovered claims, unresolved balances, and action items • Improve billing accuracy and follow-up processes to reduce future claim rejections • Manage a secondary email account for employee reports related to the practice’s DCFS contract • Coordinate monthly DCFS reports and remind staff to submit information on time • Assist with administrative email organization and follow-up • Support SAM renewals, credentialing, and re-credentialing • Answer or assist with phone calls when needed • Support additional administrative projects as assigned
• Hands-on experience using TherapyNotes for billing is REQUIRED • Medical insurance billing and claims processing experience is REQUIRED • Strong experience with AR follow-up, rejected claims, denials, EOBs, and insurance follow-up • Ability to independently investigate claim issues and determine appropriate next steps • Strong understanding of the insurance reimbursement lifecycle • Experience communicating with insurance companies regarding claim status, rejections, denials, and billing discrepancies • Strong attention to detail when reviewing claim information and identifying billing errors • Comfortable handling billing disputes and complicated insurance-related issues • Knowledge of HIPAA requirements and ability to maintain strict confidentiality • Strong written and verbal English communication skills • Ability to work independently and manage multiple outstanding claims and follow-up deadlines • Relevant work experience • Must provide an NBI Clearance and/or Local Police Clearance before onboarding • Must attend video meetings with camera on when required • Comfortable with TherapyNotes, email platforms, phone/VoIP systems, Slack, Salesforce, WhatsApp, Skype, Zoom, Google Meet, and other communication platforms • Preferred: behavioral health, mental health, counseling, psychology, psychiatric practice experience • Preferred: Medicaid and commercial insurance experience • Preferred: Blue Cross/Blue Cross Medicaid claims experience • Preferred: insurance credentialing or recredentialing experience • Preferred: familiarity with SAM renewals • Reliable laptop or desktop computer • Stable high-speed internet connection of at least 25 Mbps • Noise-canceling headset • Working webcam • Quiet and professional work environment
